HOW YOUR ADMINISTRATIVE ASSISTANT CAN BOOST YOUR SUCCESS

Mar 02, 2023

As a school leader, you have a lot on your plate.  Your assistant can be a valuable asset in increasing your productivity and helping you manage your workload more efficiently. In this blog post, we’ll share strategies that school leaders can use to better utilize their administrative assistants.

1. Clearly define roles and responsibilities

The first step in effectively utilizing your administrative assistant is to clearly define their roles and responsibilities. This means having a conversation with your assistant about what tasks they are responsible for and what tasks you will handle. This will help to avoid confusion and ensure that everyone is on the same page.

2. Delegate tasks

Once you have defined your assistant’s roles and responsibilities, it’s important to delegate tasks effectively. Identify tasks that your assistant is well-suited to handle and delegate them accordingly. This could include tasks such as scheduling meetings, responding to emails, managing your calendar, or handling administrative tasks.

3. Provide clear instructions

When delegating tasks to your assistant, it’s important to provide clear instructions. Be specific about what you need them to do, and provide any necessary resources or information to help them complete the task. This will help to ensure that the task is completed correctly and efficiently.

4. Use technology to streamline tasks

Technology can be a valuable tool in streamlining tasks and increasing productivity. Work with your assistant to identify tasks that can be automated or streamlined using technology. This could include using scheduling software to manage appointments or using templates to create standardized emails.

5. Encourage professional development

Encouraging your assistant to pursue professional development can be a great way to increase their skills and value to your organization. Work with your assistant to identify areas where they would like to improve their skills, and provide opportunities for training or education.  There are professional development opportunities designed to have both the school leader and their administrative assistant attend together.  They are often structured in a way that begins work on several of the aforementioned strategies.

6. Communicate regularly

Regular communication is essential for ensuring that your assistant is able to effectively support you. Schedule regular check-ins with your assistant to discuss ongoing projects, upcoming deadlines, and any issues or concerns that need to be addressed.

Your administrative assistant can be a valuable asset in increasing your productivity and overall success.  Strengthening your relationship and your assistants skill set will ultimately enhance your leadership capacity.
